• All contracts awarded will be contingent upon E-rate funding and final board approval. The applicant may choose to do all or part of the project upon funding notification.

• All contracts awarded under this IFCB bidding process may be voluntarily renewed by the applicant, upon written notice to the provider, for five consecutive one year terms. Please include this language in your final contract.

• All applicable fees, surcharges, and taxes must be identified on the bid or your bid will be disqualified. E-rate rules require the applicants to evaluate the price of eligible goods and services that will be listed on the 471 application during the competitive bidding process. If the applicant discovers that fees, taxes or surcharges apply but are not listed on the bid (after the time of bid awards) those charges will be the responsibility of the bidding company.

• E-rate rules require applicants to evaluate the cost of eligible goods and services and to cost-allocate out the amount for ineligible services from their funding request. If your company will be bidding internet access service, please identify the amount to be cost-allocated out for the ineligible services – email service, web hosting, content filtering, or other bundled ineligible services.

Vendors that submit bids without documentation demonstrating the required compatibility listed in this IFCB will have their bids disqualified, unless that vendor has bid the preferred make/model number listed.

Internet Access – Applicant currently has 1Gbps bandwidth, and will accept bids for up to 20Gbps. Applicant is specifically requesting bids for 6Gbps, 8Gbps, and 10Gbps bandwidth. E-rate rules require applicants to evaluate the cost of eligible goods and services, and to cost-allocate out the amount for ineligible services from their funding request. VOLUNTARY SITE VISIT

Vendors wishing to bid on internal connections can attend a voluntary site visit on October 2nd, or October 9th beginning at 10am. Vendors will meet at 406 N. Bledsoe St., Gilmer, TX 75644, and check in with Rusty Ivey.

Project Narrative

We wish to complete our Wifi Network with installation of wireless APs at remaining classrooms that do not have coverage. C1 switches will upgrade backbone WAN to 40Gbps while C2 switches and fiber will complete 10Gbps to all LAN IDFs. There is another document associated with this IFCB available for download that details the equipment they wish to purchase. The document lists equipment that is preferred by the applicant – they will also accept functional equivalents of said items.

Compatibility Requirement

All requested equipment must be compatible with existing Aerohive WAPs, and Brocade switches.

We utilize on-prem controller for wireless APs. We would like 5 year maintenance and upgrade for this controller. We would like to utilize Brocade’s maintenance suite for switch upgrades, and services on a 5 year agreement.

Is the district requesting to update licensing for 5YR on their existing APs or just the new APs being requested in this RFP? If so, how many APs do they currently have that will need updated licensing? The district has a HiveManager NG On Prem Virtual Appliance, so we do not have visibility in to their current device usage. But it does look like all of their support expired back in 2018.

Q2: Will the district accept bids for an all-encompassing leased lit or dark fiber WAN solution connecting all district locations, or is there no need for this? Thanks!

The district owns the fiber between all locations. It was installed pre-e-rate

A: Yes – at Bruce JH and Intermediate campus, installs in the cafeteria will be above 15’

Q: Preference on wire and color for AP’s?

A: Wire must be Cat-6A for Ap installation and the color should be grey

Q: Are patch panels needed?

A: assume that a patch panel will be needed at all locations where new wireless Aps are installed

Q: Are Jumpers needed from patch panel to switch?

A: Yes, installed solution needs to be fully functional.

Q: How long do you want the maintenance contract to run?
